Highfield House Condominium is seeking a dedicated individual to serve as Assistant Manager, interested in making a long-term impact on our community through consistent service, operational support, and professional development. The Assistant Manager is a key on-site, office-based role responsible for supporting the daily operations of the Association. This position requires regular and reliable presence in the community to ensure consistent delivery of high-quality services to residents, staff, and contractors.
Working directly under the Site Manager, the Assistant Manager will assist in a wide range of operational areas, including facility management, resident relations, staff coordination, and communications. In the Site Manager’s absence, the Assistant Manager will provide leadership to ensure the smooth continuation of daily functions and service delivery, all within established policies, rules, and regulations, and under the guidance of the Board of Directors.

Duties
Resident Relations
Foster and maintain positive, respectful relationships with residents.
Respond promptly and professionally to resident inquiries, complaints, and suggestions.
Distribute welcome packets and conduct orientation with new homeowners.
Assist with architectural review processing.
Coordinate production and delivery of the weekly newsletter and other mass communications.
Maintain and manage systems that support resident engagement and association operations, including:
- Resident logins and access
- Website updates (newsletters, forms, policy updates)
- Mass communication
Office Administration
Maintain proficiency with office software, equipment, and communications platforms.
Monitor and manage inventory of office and cleaning supplies.
Schedule regular and as-needed cleaning and maintenance of the association's common areas.
Attend monthly Board Meetings, post Board minutes within three days of approval.
Attend monthly Committee Meetings
Prepare and submit monthly reports ahead of monthly Board Meetings to the Site Manager, including:
- Architectural requests and approvals
- Home sales and transfer activity
- Residents move in/out
Staff, Vendors, and Contractor Coordination
In the Site Manager’s absence, oversee the daily activities of all employees.
Maintain effective relationships with outside contractors and service providers.
Support the Site Manager in staffing oversight and coordination as needed.
Assist in developing and executing operational plans for the association.
Collaborate on preventive maintenance schedules and ensure the timely completion of repairs
Help coordinate with vendors to address routine facility needs, ensuring adherence to community standards.
Compensation
Starting salary for this position is competitive based on experience and qualifications.
