PURPOSE
The purpose of this job is to serve our members, customers and co-workers.
SUMMARY
This position provides comprehensive administrative, technical, and a wide variety of logistical support to the President enabling them to focus on strategic initiatives and high-level decision making. The incumbent in the role will have the ability to exercise good judgment in diverse situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain balance among multiple priorities.
ACHE is a hybrid work environment, requiring 2 days per week in our Chicago loop office.
JOB FUNCTIONS
- Executive Support Activities 50% of Time
- Ensures proactive and timely management of the President’s calendar and scheduling meetings for both internal and external contacts. Resolves scheduling issues.
- Organizes and coordinates externally facing meetings and appointments.
- Supports the President by reading, researching, collecting and synthesizing information as needed, in advance. Briefs the CEO on the content of documents, meeting requests, email, etc.
- Assists with the planning, execution, and tracking of various projects, often involving coordination between multiple departments.
- Prioritizes conflicting needs. Monitors internal and external deadlines for the President.
- Collaborates with the Governance Specialist in creating and maintaining the Executive Office budget.
- Maintain the President’s hardcopy and electronic filing system.
- Provides basic technical support related to software, hardware, and communication systems.
- Stakeholder Liaison and Representation Activities 40% of Time
- Serves as a point of contact for internal and external stakeholders, facilitating communication between the President and other team members or external parties.
- Prepares correspondence (emails, letters, phone calls), coordinates itineraries and travel arrangements, and prepares expense reports.
- Prepares and manages presentations and decks. This includes collecting presentation components from other parties as well as tracking and maintaining version control.
- Drafts and edits documents and other communication materials.
- Manages sensitive matters with a high level of confidentiality and discretion.
- Serves as a point of contact for internal and external stakeholders, facilitating communication between the President and other team members or external parties.
- Special Projects 5% of Time
- Provides support and coordination of a wide variety of special projects for the President.
- Other Duties as Assigned 5% of Time
Requirements
KNOWLEDGE AND SKILL REQUIREMENTS
- Baccalaureate degree or equivalent previous work experience. Master’s degree preferred.
- Minimum of five years supporting executive level professionals.
- Strong interpersonal, written and verbal communication skills.
- Advanced savvy with creating and editing professional, executive-level Power Point presentations.
- Must have advanced demonstrated Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Superior time management and organizational skills.
