Maryknoll Sisters of St. Dominic, Inc., seeks talented, dedicated and experienced individuals to join our staff. We are a congregation of Catholic religious sisters, founded in 1912 to serve as missionaries around the world and across the United States. We include members who are contemplative sisters powering our work by their constancy in prayer. Today we number approximately 245 sisters, of whom 145 live at our Center House in Ossining. POSITION SUMMARY
This position supervises two (2) Facilities Working Supervisors (Groundskeeping and Power Plant as well as twelve (12) Maintenance Mechanics/WATCH Engineers and an Administrative Assistant, to ensure all day-to-day operations of Physical Plant are operating effectively and efficiently and unit goals and objectives are met.
The Physical Plant Manager ensures that:
Service Requests from Departments in the organization and the Sister residents are filled within a reasonable time with quality work;
The grounds are kept attractive and pleasing to Maryknoll Sisters, employees and guests;
Heating, cooling and power plant operations are operating efficiently;
In keeping with Maryknoll Sisters practice to apply environmentally sound principles throughout the Center complex, the Physical Plant Manager implements sustainable practices which fall within the responsibility of the Facilities entity.
Keeps accurate records of expenditures for financial reporting purposes; prepares purchase orders for material requirements. May be required to negotiate with vendors or contractors for particular conditions and facility needs.
Sets and maintains standards of behavior and proficiency for all supervisors and encourages initiative, responsibility and accountability.
Regularly analyzes building and grounds maintenance requirements and operational problems based on frequent assessment; Initiates timely quality control systems and preventive upkeep.
ESSENTIAL FUNCTIONS, LISTED IN PRIORITY
1. Oversees work of the Maintenance Mechanics/WATCH Engineers to ensure:
a. General maintenance and preventive maintenance of buildings and
grounds is completed to assure a pleasing living and work environment;
b. Work orders are completed according to the best functional, aesthetic and economic solution to meet the needs of the requester and the Center complex administration;
2. Oversees work of the Power Plant Working Supervisor to ensure:
a) Heating, cooling, ventilation and hot water for five buildings on the compound are functioning effectively and efficiently.
b) The safety of Residents and Staff through proper management of equipment, and regular security checks of the property.
c) The timely removal of snow and ice.
3. Oversees work of the Groundskeeping Working Supervisor to ensure:
a) Landscaped gardening and woodland areas are well maintained.
b) Contractors hired to perform the various additional grounds services, i.e. lawn maintenance, tree care etc., are completing work to Maryknoll Sisters expectations.
c) Paths, walkways, and steps are kept passable, marked, and free from obstructions and hazards which could cause accidents.
4. Serves with other department leaders as a member of the Mission Services Coordinating Committee (MSCC). Participates fully in all meetings and adult learning; teaches and leads own department members by example to be effective cross-department collaborators in service of the MKS mission & vision.
5. Trains staff in new skills and in collaborative tasks, encouraging initiative, responsibility and accountability; Ensures OSHA compliance. Provides or arranges in-service education programs for all staff, including OSHA training; requires and allows each staff member to regularly update their skills and knowledge through participation in outside workshops, or school courses; provides budget for this.
6. Sets and maintains standards of behavior and proficiency for all of Physical Plant; encourages initiative, responsibility and accountability.
a) Promotes a professional team relationship with Sisters and Staff.
b) Ensures good working relations and morale within Physical Plant.
7. Works with the Facilities and Renovations Manager to ensure the proper installation, maintenance and compliance with code of the Fire Alarm and all other safety systems in all the buildings for the protection of residents, guests and employees.
8. Communicates the need for service interruptions: water, electricity, telephone, etc., to minimize adverse effects on other services, offices, and the resident community.
9. Completes the Orientation and Annual Performance Appraisals for those accountable to this position and follows up on any necessary disciplinary actions as needed.
10. Interviews and hires for those accountable to this position.
OTHER FUNCTIONS
Communicates with the Facilities and Renovations Manager regarding collaborative projects and any unusual circumstances or situations that may arise.
Oversees maintenance of department vehicles.
Directs the burial of Maryknoll Sisters: assigns burial plot, schedules the excavation, delegates responsibility for the actual burial, and ensures the cemetery is kept in excellent condition.
Ensures that the roads of the Center complex are maintained and in good repair.
Maintains the “loft” as an organized and safe environment.
Prepares budget for Physical Plant Operations. Projects long-range budget outlines for the entity’s maintenance programs and equipment; maintains a current inventory of equipment and tools; strategically monitors the Department’s budget for preventive maintenance programs, and replacement of equipment.
REQUIREMENTS TO CARRY OUT ESSENTIAL FUNCTIONS
1. KNOWLEDGE, SKILLS, AND ABILITIES (Including temperament, interests and physical stamina)
(a) Ability to do both long and short-range planning, to organize and design
schedules, to direct and supervise others, to calculate and report.
(b) Approachable, courteous and able to relate professionally in tense situations; able to relate well to both staff and Sisters; able to listen to and consider suggestions from various perspectives.
(c) Ability to assist and oversee those supervised with regard to their assigned areas.
(d) Possesses good judgment in deciding the most aesthetic, economic and efficient
ways to perform maintenance in accordance with Maryknoll Sisters expectations
(e) Basic knowledge of all assigned areas.
(f) Must possess a valid New York State Driver’s License.
(g) Ability to drive the Physical Plant BOBCAT, as needed.
(h) Proficiency in Microsoft Word, Excel and Outlook.
2. EXPERIENCE REQUIRED
5 or more years of experience in facility operations.
3 or more years supervisory experience providing regular individual & group staff development and written performance appraisals.
Extensive knowledge in HVAC, BMS, electrical, plumbing, carpentry, life safety and other systems required for building operations.
3. MINIMUM FORMAL EDUCATION REQUIRED
Bachelor’s degree in engineering or a related field preferred.
Certificate in construction management or other trades management is a plus
Certifications as required by Ossining, and/or Westchester County, and/or NY State agencies.
High School Diploma required.
PERFORMANCE STANDARDS FOR ESSENTIAL FUNCTIONS
1. The Center complex is a pleasing and safe living and working environment.
2. All Facilities operations operate smoothly; work orders are completed in a timely, economical and efficient manner to the satisfaction of Maryknoll Sisters.
3. A good working relationship exists between the Physical Plant Manager and all other members of Facilities. Similarly, the Physical Plant Manager and all members of the department collaborate effectively with staff across all departments.
4. Protective equipment and necessary tools for completing maintenance projects is available for staff; proper precautions are followed in accord with OSHA requirements.
5. The Congregational Leadership Team is consulted and informed of important needs and issues.
6. Residents and Employees are kept abreast of maintenance situations affecting their lives and work.
7. Vehicles, equipment, grounds and buildings are properly maintained; properly installed equipment provides a safe living and work environment.
8. Vehicles used by Physical Plant are maintained in good repair and operate reliably.
9. The snow removal schedule is/was effective.
10. Deceased Maryknoll Sisters are buried with reverence and the appearance of the Cemetery has been maintained in an attractive way.
